Administrative Assistant

Position Summary:
The Administrative Assistant provides comprehensive administrative and clerical support to the Leadership Team and staff within the assigned state. This role is essential in ensuring smooth day-to-day operations, supporting internal communications, and maintaining compliance with organizational procedures.
Essential Job Functions:
  • Provide general administrative support including scheduling, correspondence, and report preparation.
  • Serve as a liaison between leadership and internal staff, coordinating with the Operations Manager to address inquiries and manage communications.
  • Collaborate with the Chief Clinical Officer on matters related to accreditation, personnel records, onboarding, and orientation.
  • Assist with recruitment-related tasks such as interview scheduling and processing of new hire paperwork.
  • Coordinate meetings and events, including scheduling and logistics for internal and external participants.
  • Track and report business-related expenses; assist with billing and invoicing as needed.
  • Record and maintain minutes for staff and leadership meetings.
  • Support preparation for on-site and off-site functions.
  • Assist in ordering and maintaining office supplies and equipment.
  • Work collaboratively with the Regional Accountant, Regional HR Representative, Deputy COO, and other departments.
  • Uphold and promote the mission, vision, and values of the organization.
  • Perform other duties as assigned.
Qualifications:
Certifications/Licensures:
  • Relevant certifications or licensure preferred.
  • Valid driver’s license 
Education:
  • High School Diploma or equivalent required.
  • Bachelor’s degree in Counseling, Criminal Justice, Social Work, Psychology, or a related field preferred.
Experience and Skills:
  • Minimum of one (1) year in an administrative or clerical role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication and organizational skills.
  • Ability to analyze situations and develop appropriate responses.
  • Experience working with high-risk youth and families preferred.
  • Knowledge of prevention and substance abuse principles is a plus.
  • Professional demeanor and cultural sensitivity required.
